Truncated email messages - resolution

During the past three weeks, email users have reported a problem with complex email messages arriving in their inboxes truncated or cut off (examples include: online newsletters, ForUM, TGIF newsletter). Our system administrators have determined that this is an Outlook desktop client issue, not related to mail delivery or email mailboxes. If you have experienced this issue, we recommend that you turn off “cached” mode in your Outlook client temporarily, and then re-enable it after 24 hours. The following steps have proven to resolve this issue:

Outook 2007 Steps

  1. From the Menu bar, click Tools
  2. Click Account Settings
  3. Click Change (underneath the tabs)
  4. Uncheck Use Cached Exchange Mode
  5. Click Next
  6. Click Finish
  7. Click Close
  8. Exit out of Outlook by selecting File -> Exit
  9. Restart Outlook to complete the process

Outlook 2003 Steps

  1. From the Outlook menu bar, click Tools
  2. Click Email Accounts
  3. Under Email, click the radio button next to “View or change existing email accounts”
  4. In the Email Accounts dialog window, click Change
  5. In the next Email Accounts dialog window, uncheck Use Cached Exchange Mode
  6. Click Next
  7. A dialog window displays advising you to exit out of Outlook. Click OK
  8. Click Finish
  9. Exit out of Outlook by selecting File -> Exit
  10. Restart Outlook to complete the process

In both Outlook 2003 and 2007, after 24 hours, you can enable cached mode by rechecking Use Cached Exchange Mode.

  1. What does Cached Exchange Mode do? Is it even necessary to turn it back on again?

  2. Cached Exchange Mode provides you with a better experience when you use a Microsoft Exchange Server e-mail account because in cached mode a copy of your mailbox is stored on your computer. This copy provides quick access to your data and is frequently updated with the mail server. Non-cached mode keeps all mail and contacts on the server, and so it may take time to access your information. You do not have re-enable cached mode once it has been turned off. However, cached mode allows for optimal email delivery performance, meaning that service is faster and more efficient.

  3. Thanks, this does fix the problem that I was having with TGIF news.
